Processes & Automation
- 🧩 The Template Library got a major upgrade, making it easier to browse, compare, and preview templates with clearer filters, better context, and a smoother path into customization.
- ✨ You can now jump straight from a template into a dedicated editor to tailor stages, steps, and email or SMS content, with both manual editing and chat-guided customization.
- 🔀 Automation rules can now use contact custom fields, so processes can branch more intelligently based on details tied to the person involved, not just the property or unit.
- 📊 Process reporting is more flexible with a new Completed date filter, making it easier to answer questions like how many renewals or move-outs were finished in a given time period.
- 🛡️ We fixed an AppFolio sync issue that could mistakenly re-trigger “Lease Signed” automations for existing tenants, helping prevent confusing duplicate emails and texts.
Workflow Clarity
- 📬 Scheduled email is now more reliable, with clearer behavior after scheduling and better support for emails that include attachments.
- ✉️ We fixed an email formatting issue that could add unintended spacing after messages were sent, so emails now arrive looking the way they were written.
- ✅ Process task actions are less confusing, with misleading checkboxes removed and task duplication made easier when you need to reuse steps inside a workflow.
- 🏷️ Pipelines can now set a default property category for new leads, helping new records start in the right place automatically.
Data Integrity & Reliability
- 📝 Notes are now better protected so only the original author, or an admin, can change them, helping teams keep a more trustworthy record of activity.
- 📱 LeadSimple Phone reliability improved this week too, with fixes for unexpected mobile logouts, connected-user setup, and call transfers reaching the right teammate more consistently.
Coming Soon
- 👀 Inbox is getting a simpler, more familiar navigation experience with a new filter bar that makes it easier to move through conversations and narrow your view, more like a traditional email client.
- 📅 Our new Calendly integration is rolling out to customers, making it easier to keep scheduling activity connected to your CRM workflows.
- ✅ A redesigned Tasks page is on the way, with a cleaner experience for managing and working through tasks.
- 🔄 We’re also continuing to deepen our Rentvine integration with more robust two-way sync, so data stays better aligned between systems.
Phone & Inbox
- New: Auto-Replies for LeadSimple Phone. You can now automatically send a text back after a missed call, an incoming text, or after-hours outreach, helping leads, tenants, and owners get a quick response even when your team is tied up.
- Calls and texts are now more likely to land on the right contact. We cleaned up legacy “Unidentified Caller” and “Unidentified Texter” mixups so conversation history is clearer and less likely to get stranded on the wrong record.
- Canadian accounts can once again search for and provision additional phone numbers without running into false “no numbers available” errors.
- Phone settings are more reliable when assigning who can receive calls, and they now prevent a few confusing routing combinations that could lead to setup mistakes.
Mobile & Account Access
- Image attachments now load properly in the LeadSimple Phone mobile apps, making it easier to view photos and other shared images while you’re away from your desk.
- We fixed an issue that could block some trial accounts from accessing the billing page, so billing and trial details are available when expected.
Getting Started
- We refreshed the sign-up experience with a more polished, modern page and added a few up-front questions so new accounts can get set up in a way that better fits their business from day one.
Up Next
- We've put the final touches on a brand new tasks page, complete with bulk editing.
- Beginning next week, Notes will only be editable by admins and the author of the note.
- We are adding contact fields to conditional logic, along with several other enhancements.
New: CRM Lead Auto-Assignment
You can now route new leads to the right team member automatically. Set up assignment rules per pipeline so that leads from Zillow, Apartments.com, your website, and other sources land with the right person every time — no more first-come-first-serve scrambles or a single static assignee per form.
New: Texting on LeadSimple Phone for Android
Send and receive text messages directly from the LeadSimple Phone app on Android, joining our existing iOS support. Stay connected with leads, tenants, and owners wherever you are.
New: Ring Groups across Phone plans
Ring Groups are now available on both Phone + Inbox plans. The Core plan ($29) includes basic Ring Groups with simultaneous ringing, and the Pro plan ($59) includes enhanced Ring Groups with additional routing options.
New: Unified Phone Settings
We combined Texting & Inbound Calling and Phone Settings into a single page, so everything phone-related — inbound behavior, outbound settings, Lead Source columns, "Send calls to VM" — now lives in one spot under Settings → Phone.
Phone improvements & fixes
- Faster ring group dials. We fixed slowness when a ring group fires simultaneous dials, so inbound calls reach every group member faster.
- Caller ID on mobile. The LeadSimple Phone app now shows the caller's contact name — not just their phone number — when someone saved in LeadSimple calls in.
- iOS mute bug resolved. Fixed an issue where the iOS app would intermittently mute and unmute a call on its own after you tapped the mute button.
- Web extensions respect voicemail routing. If your web extension is set to route to voicemail, it will no longer ring on the web.
- A2P registration reliability. Tax ID values are now validated and normalized before submission, so registrations stop failing silently with Twilio format errors.
Processes & Autopilot
- New workflow steps no longer fire retroactively. Adding a step (like Start Process) to a pipeline stage now only applies to leads that enter the stage afterward — it won't backfill onto leads already sitting there.
- Duplicate process regeneration fixed. Resolved a long-standing issue where a Move Out process could regenerate itself without a stage change or trigger. A new 23-hour idempotency guard prevents related duplicate-process edge cases across the board.
- Manual process creation works reliably. Fixed the intermittent error page that could appear when starting a new process by hand.
- Clear button restored on Work Order Scheduled Start Date. You can once again blank out the Scheduled Start Date field on a Work Order instead of being forced to pick a value.
Inbox
- Snooze by time of day. The time picker in Inbox snooze is back, so you can snooze a ticket to a specific hour — not just a date.
Integrations
- Rentvine handles deleted pipelines gracefully. Rentvine integrations no longer fail when a connected pipeline is deleted.
- Email lead parser fix. Resolved a parsing issue that could cause fields to drop from certain incoming lead emails.
Association property management
- HOA / Association Property Profile, redesigned. We removed fields that don't apply to Associations (beds, baths, lease dates, linen inventories, and more) and updated the remaining ones to match how Association managers actually work.
Up next

- Calendly integration — connect Calendly to your CRM so showings booked through Calendly stay in sync with LeadSimple automatically. In final QA.
- Tasks page upgrade — a refreshed index and detail view with filtering by status, assignee, due date, and conversation, plus saved views and bulk selection. In final QA.
- Continued performance improvements across the pages and workflows you use every day.
A big week for Phone. Headlining the release is a brand-new Messaging Compliance Center that lets you complete 10DLC registration on your own — no support ticket required.
New: Messaging Compliance Center
Getting registered to send text messages is now a self-serve flow you can complete in minutes. Head to Settings → Phone → Compliance and walk through a guided form for your business identity, messaging program, and consent language.
- Pre-filled, property-management-ready defaults. Most fields are filled in for you using TCPA-compliant language built for property managers. For most customers, the flow is: review, validate, submit.
- LeadSimple-managed consent, privacy, and terms pages. We can host the required messaging disclosure pages on your behalf and link them automatically in your submission. Prefer to use your own? Switch to external mode and provide your URLs.
- One-click validation. Check that your pages are reachable and contain the required disclosures before you submit.
- Status visible everywhere. New summary cards on Phone Settings and Inbound Numbers show exactly where each campaign stands.
- Self-serve rejection handling. If our carrier partners rejects a campaign, you'll see exactly what needs to change — fix it and resubmit, no waiting on support.
Customers are already using the Compliance Center to get registered faster than ever, and we're really proud of how it turned out.
New: Transfer a live call to a teammate
You can now transfer an active call to another team member with one click.
- Hit the new Transfer button (next to Mute) in the active call window.
- Search for any teammate from a quick dropdown.
- The receiving teammate's phone rings, and the call record in Inbox updates to show the new owner.
Perfect for handing a caller off to the right person without making them hang up and call back.
Phone improvements & fixes
- After-hours greetings now play correctly across all menus. Fixed an issue where the after-hours greeting only played when callers reached an IVR menu, and another where the standard greeting could play in sequence after the after-hours recording.
- IVR menus are editable on Port Pending numbers. You no longer have to wait for a port to finish to set up or update an IVR menu.
- Ported numbers update their status correctly. Numbers that have completed porting will now show as active instead of hanging in Port Pending.
- Per-number Out of Office messages restored. Out of Office greetings on individual phone numbers load and play as expected.
- Outbound call recordings. Resolved an edge case where some outbound calls weren't producing a recording.
- A2P registration copy. We refined the consent language on the A2P registration screen to align with Twilio's latest guidance and improve approval rates.
Inbox & Email
- Faster, more reliable email sending. We tracked down and fixed several issues that could cause email composition and replies to time out, especially on busy accounts. Sending should feel noticeably snappier.
- Editing contacts in the new Inbox. Fixed a bug where the email field could display as [object] when editing a contact, blocking saves.
Integrations
- JotForm leads flow into your pipelines again. Resolved an issue that could prevent new submissions from creating leads.
- Canadian addresses fully supported. Canadian provinces are now selectable when entering company and property addresses.
Up next
- Calendly support and Lead Auto-Assignment are wrapping up QA and shipping soon. We can't wait to get these features out to customers!
- Universal Search — find anything in LeadSimple from one search bar.
- Texting on LeadSimple Phone for Android — send and receive text messages right from your Android device, joining our existing iOS support.
- Continued performance enhancements across the pages and workflows you use every day.

Mobile texting, Autopilot fix, and Buildium sync improvements
We've been busy this week shipping improvements across the platform. Here's what's new:
New: Text messaging on the LeadSimple Phone app
You can now send and receive text messages directly from the LeadSimple Phone mobile app. Stay connected with leads, tenants, and owners on the go — no need to be at your desk.
Autopilot improvements
We resolved an issue where Autopilot could occasionally associate the wrong rule set with a process (for example, a Lease Renewal process picking up Move-In rules). Autopilot now consistently triggers the correct workflow logic for each process type.
Buildium lease date sync
We fixed an issue that could cause lease end dates syncing from Buildium to reflect outdated information. Lease dates now sync accurately and stay up to date.
A2P text registration
We're actively improving the A2P 10DLC registration process to make getting set up for texting smoother and more reliable.
Process creation fix
Resolved an intermittent issue where manually starting a new process could result in an error page. Process creation now works reliably.
Additional improvements
- Contact custom fields now display correctly in task views and no longer show unexpected characters.
- Adding a phone number from the Edit Contact screen works smoothly again.
- Improved messaging for users who don't yet have Phone access enabled.
- General stability improvements to text messaging.
Up next
- Calendly integration— Connect Calendly to your CRM for seamless scheduling.
- Lead auto-assignment— Automatically route new leads to the right team members.
- Texting on LeadSimple Phone for Android— Enjoy our new texting features right from your Android device.
We shipped a focused set of bug fixes and performance improvements this week, including several phone reliability fixes, a key Rent Manager sync correction, and a major push to make the app faster across the board.
Phone fixes
- Shared numbers now save multiple users — Assigning more than one team member to a shared phone number works reliably now.
- Calls ringing and logging correctly — Inbound calls now ring assigned team members and show up in the activity feed as expected.
- Call recipient validation on web numbers — Only users with a Phone or Inbox seat can now be selected as call recipients on web numbers.
Integrations
- Rent Manager: tenants now sync to the correct unit — Tenant data now pulls into the right unit record every time.
- Zapier: large task payloads now handled correctly — Zapier integrations with larger task data now process reliably.
Inbox
- Loading error fixed — The "Service Unavailable" error some users were seeing when opening Inbox notifications is resolved.
Performance improvements
- We've made a significant investment in speed over the past few weeks. If you've been experiencing slow load times or spinning wheels, many of those issues should now be resolved.
Pages that load faster
- Process Detail page — Now loads significantly faster by pulling in only what you need right away.
- Processes list — Loads more efficiently with fewer round trips.
Activity feeds on contacts, properties, and units — No more timeouts and endless spinners.
- Deal page sidebar — Loads smoothly now, even for accounts with lots of tags and related records.
- Calendar sync — The calendar subscription feed now handles large schedules without timing out.
Eliminated endless spinners
- Inbox email reply, forward, and notes — The infinite loading spinners some users saw beginning on March 17.
- Property sidebar with many units — Now loads unit details on demand, so properties with lots of units won't freeze up.
- Workflow step conditions dialog — Opens faster by loading data only when you need it.
Behind the scenes
- Common lookups across the app (events, conversations, text messages) are now faster, especially during peak hours.
- Gmail sync processing is now batched, so the app stays responsive during busy periods.
We've been heads-down on a batch of improvements across Phone & Inbox, performance, and integrations. Here's what shipped.
After-hours call handling
You can now customize what happens when someone calls outside business hours, on a per-number basis:
- After-hours greetings per phone number— Set a different greeting for your maintenance line vs. your leasing line.
- External call forwarding after hours— Route calls to an answering service or on-call number when the office is closed.
More phone improvements
- Missed call notification toggle— Turn missed call email notifications on or off under User Settings > Notifications.
- Number porting restored— You can submit port requests to bring your existing phone numbers into LeadSimple directly from the app.
- Phone Settings in the nav menu— Phone Settings is now in the left sidebar under Settings, instead of behind the gear icon.
- Phone & Inbox onboarding flow— New users get a guided setup experience from activation to first call.
Performance
We fixed issues that were slowing down several pages:
- Deal Detail, Process List, and Activity Feedload faster. If you've been hitting spinner or timeout issues on those specific pages, they should be resolved.
- Calendar sync and rendering— Calendar views load faster.
Integrations
- Propertyware error handling— LeadSimple now skips bad records returned by Propertyware (usually caused by malformed data on their side) so the rest of your sync completes. Previously these could stall an entire sync.
Inbox
- Conversation sort order— You can now sort conversations newest-to-oldest or oldest-to-newest in the filter dialog.
Bug fixes
- Fixed a subset of answered calls being incorrectly marked as missed
- Fixed "Failed to load recording" errors on the Recents tab
- Fixed inbound email replies not syncing into conversations
- Fixed email threads not being collapsible
- Fixed Autopilot "Move Out" runs getting stuck or overlapping
- Fixed Activity Report filtering by pipeline causing errors
Exciting announcement! There are two new triggers in Zapier: Task Completed Automatically and Task Completed Manually.
This will allow you to use fewer Zapier tasks than using the Task Completed trigger uses. 🎉

We’ve introduced a new automatic lease renewal detection feature that streamlines your lease renewal workflows. When a tenant signs a lease renewal in AppFolio (and soon other supported platforms), LeadSimple will now detect the updated lease end date and automatically advance the workflow, with no manual intervention needed.
Why it matters
Previously, teams had no easy way for LeadSimple to know when a lease renewal was finalized, leaving renewal workflows open until someone manually updated them. This new feature:
- Saves time by auto-closing renewal workflows
- Prevents errors caused by missed manual updates
- Keeps your pipeline clean and up to date
How it works
- New dynamic field:
- Lease Renewal Completed → A true/false field on the Unit that turns true when the lease end date is pushed into the future.
- It stays true for 30 days after the change, giving workflows enough time to detect and auto-advance without accidentally triggering twice.
- Workflow setup:
- In your Lease Renewal workflow, add a new step (e.g., Lease Renewal Signed).
- Set it to trigger when Lease Renewal Completed = true.
- Move this step to the top of the workflow so it executes immediately when detected.
- When triggered, it will automatically transition the process into the Lease Renewed stage.
- What triggers it:
- When a tenant signs a renewal, AppFolio updates the lease end date.
- LeadSimple detects that change and marks Lease Renewal Completed = true.
- The workflow then auto-advances to the correct stage.
Example in action
A tenant signs their renewal → AppFolio updates the lease end date → LeadSimple detects the change → workflow automatically moves from Renewal in Progress → Lease Renewed.
No more manual checking or marking the workflow as complete.
This is live in production and available for all LeadSimple users using AppFolio integrations.

Say Hello to Your New Tasks Page ✨

Our previous tasks UI has served you in many ways to help you manage your team and productivity. We also recognized opportunities where the Tasks page can make managing your team and work even easier and more productive.
In comes the new, twofold Tasks page update:
- Your Tasks page has a fresh new look
- You have new features on your Tasks page
Both these updates aim to help make LeadSimple more intuitive and efficient for you.
Let’s dive in.
Your Tasks page has an updated interface and added features, helping you navigate tasks and assign them more quickly.
- We’ve wrapped up Tasks under a display limit, keeping you from the doom of an endless scroll through your Tasks.
- Prioritization: you can label your tasks with a Priority tag, making it easier to alert your team or get ‘first things first’ done.
- Skip tasks button: We’ve added a ‘skip tasks’ button to allow you to move to the following tasks without completing a prerequisite task. This change is also reflected on your Process page.
- Task type: This will help your team easily see whether your task is a to-do or a meeting, making it easier to categorize your tasks.
- Inline Task Creation: Create your standalone task directly inline and add details in the task description box.
- Sorting and editing: Sort your tasks based on priority or due date and easily edit task details.
