🤖 AI-assisted maintenance text triage is now available in preview for eligible maintenance numbers, helping summarize tenant text/MMS intake, surface missing information, and prepare the right work order path for review or creation.
📞 Phone settings are easier to manage for larger and mixed-permission teams. Admins get smoother loading for accounts with hundreds of numbers, and limited-access users can view the numbers they’re connected to without needing full admin access.

We spent the week improving the places where larger teams and busier workflows need a little more confidence: clearer people organization, more useful reporting, fewer timeouts, and steadier automation across LeadSimple and connected systems.
New and rolling out
  • 👥 Account teams are starting to roll out, helping larger companies organize users by department, market, or team so assigning work and mentioning teammates is easier.
  • 📊 Lead pipeline reporting can now include property context, making it easier to compare source performance by one property or across a selected group.
  • 🏠 AppFolio owner creation can now be triggered from CRM pipeline stage changes, helping owner leads move more smoothly into AppFolio when they reach the right step.
  • 🏷️ The “First-to-reply” setting has been renamed to “Lead Notification” so the setting better matches what it controls.
Inbox, Email & Texting
  • ✉️ Email sending is being moved into background processing to reduce request timeouts when email providers are slow.
  • 📨 Inbox email sending is more reliable after a fix for linked-record errors that could interrupt a send.
  • 📱 Text messaging is more dependable for contacts that were incorrectly blocked from receiving texts.
Workflows & Automation
  • 🧭 Newly added workflow steps no longer retroactively trigger for leads that were already sitting in that stage.

We spent this week tightening the parts of LeadSimple where small reliability improvements make a big difference: calls connecting cleanly, conversations staying accurate, settings behaving predictably, and integrations keeping work visible.

  • 🔑 REST API keys can now be rotated from settings, giving admins a faster self-serve path when a key needs to be replaced.
  • 🔔 You can now choose whether missed-call notifications appear under the bell icon, helping teams keep that feed focused on the alerts they care about most.
  • 📬 If you have Early Access enabled (Settings > Company), Inbox views now show clearer conversation counts across assigned, unassigned, all, and drafts views.

  • 📱 iOS calls handle mute more reliably, preventing the call from repeatedly muting and unmuting after mute is tapped.
  • 🧾 Call activity is cleaner, with fixes for duplicate call records from extension-to-extension calls and activity that could show “Someone” instead of the right teammate.
  • 🚫 Blocked callers should no longer create missed-call notifications or new lead records.
  • ⚙️ Phone settings are safer when deleting ported-out numbers or removing all users from a number.
Inbox & Email
  • ✉️ Connected email replies are more likely to appear in the right LeadSimple conversation after sync.

Early Access
Did you know you can opt in to the latest and greatest from the LeadSimple Product Team?
Starting this week, admins can now opt their account into Early Access from Company Settings, starting with the newer Inbox navigation and filter experience.
New and rolling out
  • 🤖 LeadSimple's AI Agent for Phone & Inbox is moving into early access. Designated phone numbers can use AI voice handling and optional AI text replies, with shared instructions, lead routing settings, and a knowledge base to guide responses.
  • 🛡️ AI text replies stay off by default and are enabled per number. Recent human replies pause the agent, and opt-out or media-only messages are saved without an automatic AI response.
  • 📝 Jotform can now create Operations processes, not just CRM leads. Form submissions can start the right process type, attach the submitter in the selected contact role, and use duplicate handling scoped to open matching processes.
Phone & Calling
  • 📞 Ring groups and multi-device calling are more dependable. When one teammate answers, declines, or clears a call, other devices should stop ringing instead of getting stuck in phantom call states.
  • 🔇 We fixed cases where calls could connect with one side hearing silence.
  • 🔁 Ported LeadSimple phone numbers now avoid routing loops when that number was also set as a user's notification number, and the matching user is automatically connected to that number.
  • 🔗 Old phone.leadsimple.com bookmarks now redirect to the Phone settings page.
Inbox, Email & Notifications
  • ✉️ Starting a new email in Inbox no longer pulls in an unrelated old draft. Standalone drafts are now recoverable from the Drafts tab instead of hiding in the background.
  • 📎 Workflow email templates keep their attachments more reliably when drafting and sending.
  • 🧾 Email templates preserve paragraph breaks after send, so owner and tenant messages look the way they were written.
  • 🔔 Duplicate-lead notification emails can now be turned off where teams do not want that extra noise.
  • 📬 Daily agenda emails are more resilient when a user has tasks connected to archived pipelines.
Integrations
  • 🔄 AppFolio and Rentvine settings save more reliably after fixes to an issue that could block integration setup or property-group configuration.
  • 🏘️ Rentvine sync now handles deleted or missing pipelines more gracefully instead of failing the whole sync.
  • 📅 Calendly sync has stronger webhook verification support.
We shipped a mix of new product surfaces and reliability improvements this week. A few bigger updates are starting to roll out now, alongside focused fixes that make daily work in Phone, Inbox, email, and workflows more dependable.

✍️ E-signature is beginning to roll out, giving teams a smoother way to prepare, send, and manage signed documents directly from LeadSimple workflows.
✨ Our new AI chat-assisted workflow designer is also beginning to roll out. It helps teams draft and refine workflow steps with guided assistance while keeping manual review and control in place.
💳 The Billing page has been redesigned with a clearer layout for reviewing your current plan, usage, invoices, and available upgrade options.
🌙 Dark Mode continues to improve, including a more polished experience on mobile screens.
Phone & Calling
📞 Call routing is smoother, with improved timeout behavior for simultaneous, single-user, cascading, and round-robin call flows.
🔁 Call transfers are more reliable, including fixes for cases where a transfer could incorrectly say the call had already been answered.
📋 Ring group call logs now show the teammate who actually answered the call, making call ownership and activity history easier to trust.
📱 The Android Phone app is more reliable on launch, fixing an issue that could prevent the app from opening for some users.
Inbox & Email
✉️ Email sending now gives clearer guidance when Gmail blocks a send because an account needs to be reconnected, Gmail is not enabled, or permissions need to be approved again.
📬 Invalid BCC addresses are handled more cleanly, matching the behavior already used for To and Cc fields.
👥 Email recipient details are easier to verify. When a message shows additional recipients, expanding the list now displays the full recipient set as expected.
✅ Scheduled email tasks now clear from Upcoming after the scheduled message is sent, instead of requiring a manual skip.
🔔 Conversation mention notifications are more dependable. Clicking a mention notification now opens the right Inbox conversation without saved filters hiding it.
Workflows & Integrations
🧭 Stage changes on Process and Pipeline detail pages now stay visually in sync after a successful update, instead of briefly reverting until refresh.
🧩 Starting a process is more resilient when optional contact-role details are not included.
📅 Calendly sync is more reliable with updated webhook handling for recent Calendly payload formats.

Here are this week's updates, with a lot of work focused on making maintenance workflows, Inbox, texting, and integrations feel more dependable.
Now in Preview: Upgrades to Maintenance
We're introducing a significant update to Maintenance for all existing customers with the maintenance add-on. We'll begin rolling this out to customers in the coming days.
  • 🛠️ Maintenance work orders can now handle tenant requests from text/MMS in early access, including photos and clearer routing into the right work order flow.
  • 🧾 Quote review is clearer, with better support for comparing vendor quotes, selecting the right option, and keeping vendor handoffs easier to follow.
  • 🧰 Related work orders for the same property can be grouped into one repair flow, helping teams manage repeated reports of the same issue without losing context.
  • 🔗 Tenant intake links and address matching are more resilient, making public request forms easier to share and less sensitive to address formatting differences.
  • ✅ Vendor quote requests and assignments now have safer send behavior and a clearer activity trail, so teams have more confidence when handing work to vendors.
Inbox & Texting
  • 💬 Text replies are more reliable, with fixes for certain conversations that couldn't be replied to and cases where the wrong recipient could be selected automatically.
  • 🧭 Inbox activity is more accurate, including corrections to who is shown as performing an action on a conversation.
  • 📬 The new Inbox navigation and filter experience continued moving forward with refinements that make conversation scope, status, assignee, and tag filters easier to combine.
  • 📱 Text delivery reliability improved for recent carrier errors and edge cases that could keep messages from going out.
Integrations & Phone
  • 🔄 AppFolio work orders are syncing more reliably into LeadSimple, including fixes for recent missing work orders.
  • 📞 Inbound calls routed to external numbers now preserve the original caller ID more consistently, helping teams recognize who is calling.

  • 📅 Calendly for CRM is now available, making it easier to keep booked, canceled, completed, and missed events connected to LeadSimple workflows.
  • 🌙 Our most-requested feature ever: Dark Mode is now available in LeadSimple, giving teams a calmer workspace option for longer days in the app. (The default uses your system's mode. If you prefer to stay in light mode, head to the bottom of the left sidebar and change "System" -> "Light".)
Phone & Texting
  • 📞 LeadSimple Phone is more reliable on active calls, with fixes for forwarded calls dropping around the one-minute mark, inbound calls ending early, and answered calls being marked as missed.
  • 💬 Texting is smoother with fixes for duplicate SMS sends, freezes after sending a text, and support for texting numbers that are not yet saved as contacts.
  • 📱 Android call reliability improved with corrected FCM certificate setup, and Core phone plans can now assign multiple users to an extension as expected.
  • ✅ A2P registration is more reliable: business type values are now validated, and corrected Twilio end-user details are updated when a registration is retried.
Inbox, Templates & Workflow
  • 📬 We're testing a simpler Inbox navigation with improved filters and a more email-like interface. This will begin rolling out to all accounts in May.
  • ✉️ New email drafts no longer inherit an unrelated subject line, helping messages start cleanly.
  • 🗓️ We cleaned up scheduled-email edge cases that could leave duplicate scheduled messages hidden from the UI.
  • 🧩 Template Library installs and clones are more reliable, including the new Personalize path and pipeline or process templates from the library.
  • 🧭 The visual workflow editor now has stronger parity with the classic editor, including relative due-date timing, protected-workflow gates, process-step targeting, and clearer workflow end/navigation behavior.
Processes & Automation
  • 🧩 The Template Library got a major upgrade, making it easier to browse, compare, and preview templates with clearer filters, better context, and a smoother path into customization.
  • ✨ You can now jump straight from a template into a dedicated editor to tailor stages, steps, and email or SMS content, with both manual editing and chat-guided customization.
  • 🔀 Automation rules can now use contact custom fields, so processes can branch more intelligently based on details tied to the person involved, not just the property or unit.
  • 📊 Process reporting is more flexible with a new Completed date filter, making it easier to answer questions like how many renewals or move-outs were finished in a given time period.
  • 🛡️ We fixed an AppFolio sync issue that could mistakenly re-trigger “Lease Signed” automations for existing tenants, helping prevent confusing duplicate emails and texts.
Workflow Clarity
  • 📬 Scheduled email is now more reliable, with clearer behavior after scheduling and better support for emails that include attachments.
  • ✉️ We fixed an email formatting issue that could add unintended spacing after messages were sent, so emails now arrive looking the way they were written.
  • ✅ Process task actions are less confusing, with misleading checkboxes removed and task duplication made easier when you need to reuse steps inside a workflow.
  • 🏷️ Pipelines can now set a default property category for new leads, helping new records start in the right place automatically.
Data Integrity & Reliability
  • 📝 Notes are now better protected so only the original author, or an admin, can change them, helping teams keep a more trustworthy record of activity.
  • 📱 LeadSimple Phone reliability improved this week too, with fixes for unexpected mobile logouts, connected-user setup, and call transfers reaching the right teammate more consistently.
Coming Soon
  • 👀 Inbox is getting a simpler, more familiar navigation experience with a new filter bar that makes it easier to move through conversations and narrow your view, more like a traditional email client.
  • 📅 Our new Calendly integration is rolling out to customers, making it easier to keep scheduling activity connected to your CRM workflows.
  • ✅ A redesigned Tasks page is on the way, with a cleaner experience for managing and working through tasks.
  • 🔄 We’re also continuing to deepen our Rentvine integration with more robust two-way sync, so data stays better aligned between systems.
Phone & Inbox
  • New: Auto-Replies for LeadSimple Phone. You can now automatically send a text back after a missed call, an incoming text, or after-hours outreach, helping leads, tenants, and owners get a quick response even when your team is tied up.
  • Calls and texts are now more likely to land on the right contact. We cleaned up legacy “Unidentified Caller” and “Unidentified Texter” mixups so conversation history is clearer and less likely to get stranded on the wrong record.
  • Canadian accounts can once again search for and provision additional phone numbers without running into false “no numbers available” errors.
  • Phone settings are more reliable when assigning who can receive calls, and they now prevent a few confusing routing combinations that could lead to setup mistakes.
Mobile & Account Access
  • Image attachments now load properly in the LeadSimple Phone mobile apps, making it easier to view photos and other shared images while you’re away from your desk.
  • We fixed an issue that could block some trial accounts from accessing the billing page, so billing and trial details are available when expected.
Getting Started
  • We refreshed the sign-up experience with a more polished, modern page and added a few up-front questions so new accounts can get set up in a way that better fits their business from day one.
Up Next
  • We've put the final touches on a brand new tasks page, complete with bulk editing.
  • Beginning next week, Notes will only be editable by admins and the author of the note.
  • We are adding contact fields to conditional logic, along with several other enhancements.
New: CRM Lead Auto-Assignment
You can now route new leads to the right team member automatically. Set up assignment rules per pipeline so that leads from Zillow, Apartments.com, your website, and other sources land with the right person every time — no more first-come-first-serve scrambles or a single static assignee per form.
New: Texting on LeadSimple Phone for Android
Send and receive text messages directly from the LeadSimple Phone app on Android, joining our existing iOS support. Stay connected with leads, tenants, and owners wherever you are.
New: Ring Groups across Phone plans
Ring Groups are now available on both Phone + Inbox plans. The Core plan ($29) includes basic Ring Groups with simultaneous ringing, and the Pro plan ($59) includes enhanced Ring Groups with additional routing options.
New: Unified Phone Settings
We combined Texting & Inbound Calling and Phone Settings into a single page, so everything phone-related — inbound behavior, outbound settings, Lead Source columns, "Send calls to VM" — now lives in one spot under Settings → Phone.
Phone improvements & fixes
  • Faster ring group dials. We fixed slowness when a ring group fires simultaneous dials, so inbound calls reach every group member faster.
  • Caller ID on mobile. The LeadSimple Phone app now shows the caller's contact name — not just their phone number — when someone saved in LeadSimple calls in.
  • iOS mute bug resolved. Fixed an issue where the iOS app would intermittently mute and unmute a call on its own after you tapped the mute button.
  • Web extensions respect voicemail routing. If your web extension is set to route to voicemail, it will no longer ring on the web.
  • A2P registration reliability. Tax ID values are now validated and normalized before submission, so registrations stop failing silently with Twilio format errors.
Processes & Autopilot
  • New workflow steps no longer fire retroactively. Adding a step (like Start Process) to a pipeline stage now only applies to leads that enter the stage afterward — it won't backfill onto leads already sitting there.
  • Duplicate process regeneration fixed. Resolved a long-standing issue where a Move Out process could regenerate itself without a stage change or trigger. A new 23-hour idempotency guard prevents related duplicate-process edge cases across the board.
  • Manual process creation works reliably. Fixed the intermittent error page that could appear when starting a new process by hand.
  • Clear button restored on Work Order Scheduled Start Date. You can once again blank out the Scheduled Start Date field on a Work Order instead of being forced to pick a value.
Inbox
  • Snooze by time of day. The time picker in Inbox snooze is back, so you can snooze a ticket to a specific hour — not just a date.
Integrations
  • Rentvine handles deleted pipelines gracefully. Rentvine integrations no longer fail when a connected pipeline is deleted.
  • Email lead parser fix. Resolved a parsing issue that could cause fields to drop from certain incoming lead emails.
Association property management
  • HOA / Association Property Profile, redesigned. We removed fields that don't apply to Associations (beds, baths, lease dates, linen inventories, and more) and updated the remaining ones to match how Association managers actually work.
